From double data entry to zero manual input: ERP/CRM integrations

Table of Contents

Manual data entry is the invisible tax on growth. Every time someone copies data from a form into the ERP or from the CRM into an Excel spreadsheet, errors and delays occur. The solution is not "more accuracy" - but the right integration of your systems. If your Process digitization app with ERP and CRM, the process moves by itself. In this guide, you will learn how to plan integrations correctly: from Architecture pattern (event-driven vs. polling) via a Field mapping checklist up to Validations, duplicate checks and automatic status synchronizations - the path from double entry to zero manual steps.

The integration pyramid: foundation before finesse

A good ERP/CRM integration is based on four layers:

  1. Data quality: Clean entries and consistent master data.
  2. Mapping: Clear, versioned rules for field transformations.
  3. Transportation: Reliable one- or two-way synchronization (events, APIs, polling).
  4. Orchestration & Monitoring: Triggers, retries, dead letter queues, dashboards, audit logs.

Your Process digitization app is the orchestration center - it validates data at the edge, triggers events, calls APIs and displays live statuses to users.

The right architecture model: event-driven vs. polling

Event-Driven (Publish/Subscribe)

Functionality: Systems send events (e.g. Order.created, Invoice.sent). Your app subscribes to these events and reacts in real time or publishes its own events received by ERP/CRM.

Pros

  • Minimal latency: Status changes in seconds.
  • Scalable: Processing via queues/workers.
  • Auditable: Events form a traceable history.

Cons

  • Prerequisites: ERP/CRM must provide webhooks or event streams.
  • Complexity: Idempotence, sequence and retry logic must be clearly defined.

When to use: If ERP/CRM supports webhooks or event APIs and fast bidirectional synchronization is important (e.g. orders, releases, status changes).

Polling (scheduled polling)

Functionality: At fixed intervals (e.g. every 5-15 minutes), the app uses the API to call up "what has changed since time X" and compares differences.

Pros

  • Easy start: Also works with older systems.
  • Controlled load: Frequency and time window are controllable.

Cons

  • Higher latency: Minutes instead of seconds.
  • Inefficiency: Many retrievals return "no change".
  • Risk: Time windows or job failures lead to data gaps.

When to use: If no event support is available or for nightly reconciliations and backfill jobs.

Hybrid approach (most common)

  • Events for changes in real time
  • Polling for post-synchronization and integrity check
  • Queue + DLQ: Events end up in a queue; incorrect messages are stored for repetition

Field mapping checklist (for copying)

Treat your mapping like code: versioned, verifiable and testable.
Here is a complete checklist for your Process digitization app ↔ ERP/CRM-links:

Scope & responsibility

  • Relevant entities (customer, contact, offer, order, invoice, payment)
  • System of Record per field (where is the truth?)
  • Direction per field: App → ERP, ERP → App or bidirectional (with conflict rules)

Identifiers

  • Save external IDs in both systems
  • Stable Deduplication key (e.g. country:vatNumber, email:normalizedPhone)
  • Idempotence key for write operations (requestId, sourceMessageId)

Core fields

  • Names (salutation separation, UTF-8), addresses (standardized, ISO countries), e-mails/telephone (E.164)
  • Currencies, amounts, taxes (net + gross + VAT rate)
  • Time zones and time stamps (save UTC, display locally)

References & Enumerations

  • Status values ("Draft", "Approved", "Fulfilled") with exact translation
  • Units of measurement (pieces, kg, hours)
  • Terms of payment (NET30, PREPAID)
  • Product codes/SKUs, price lists

Data quality rules

  • Mandatory fields per process step (e.g. all 8 fields filled in before release)
  • Format checks (IBAN, VAT no., lengths)
  • Field dependencies (if isCompany=truethen VAT no. required)

Transformations

  • Trim, case normalization, remove spaces
  • Uniform telephone numbers, address standardization
  • Currency conversion (with source rate + time stamp)

Security & data protection

  • Synchronize only necessary fields
  • Hash or pseudonymize sensitive values
  • Deletion concepts & GDPR-compliant storage

Error & Retry

  • Retry for 5xx/timeouts, immediate abort for 4xx scheme errors
  • Back-off strategy, retry limits, alerts
  • Recovery plan for dead letter queue

Versioning

  • Save mapping version per data record
  • Change log with migration scripts for breakage changes

Example mapping (Order Header & Lines)

🌐
filename.html
entity: Order
systemOfRecord:
  header: app
  lines: app
idStrategy:
  appIdField: appOrderId
  erpIdField: erpOrderId
  idempotencyKey: appOrderId
fields:
  - source: app.customer.externalId
    target: erp.customerId
    required: true
  - source: app.orderNumber
    target: erp.customerRef
    transform: trim
  - source: app.currency
    target: erp.currency
    enumMap: { EUR: "EUR", USD: "USD" }
  - source: app.totalNet
    target: erp.totals.net
    validate: ">=0"
  - source: app.vatRate
    target: erp.totals.vatRate
  - source: app.status
    target: erp.status
    enumMap:
      DRAFT: "Draft"
      APPROVED: "Released"
      FULFILLED: "Shipped"
lines:
  - key: app.lines[*]
    map:
      - source: sku
        target: itemCode
        required: true
      - source: quantity
        target: qty
        validate: "integer && >0"
      - source: unitPrice
        target: price
      - source: vatRate
        target: taxCode
        enumMap: { "0": "VAT0", "7": "VAT7", "19": "VAT19" }

Patterns that eliminate rework

1) Validations at the edge (before the API call)

Your Process digitization app must stop incorrect data as soon as it is entered:

  • Inline tests: Mandatory fields, value ranges, regex (e.g. VAT no.).
  • Field-dependent logic: When Country of delivery ≠ Country of invoiceIncoterms query.
  • Lookups: Live query in ERP to avoid orphaned data records.
  • Intelligent defaults: Set payment terms, currency, tax rate automatically.

These rules apply on both the client and server side, resulting in consistency and fewer queries.

2) Duplicate check (hard & soft)

  • Hard keys: Exact combination (country + VAT no., e-mail + telephone number).
  • Soft test: Mark similar names with the same VAT or address.
  • Idempotence: Repeated "CreateOrder(appOrderId=123)" must not create a second ERP order.

3) Automatic status synchronization (two-way)

Define a clear State Machine:

App → ERP:

  • Draft → Approved after release
  • On Approved: Webhook creates order in ERP
  • According to ERP-Response: erpOrderId Save, set status to Submitted set

ERP → App:

  • When ERP reports shipping (Order.Shipped), sets App Status to Fulfilled
  • Tracking data appears directly in the order

Safety nets

  • Block invalid status changes (Fulfilled → Draft).
  • Log every change with user, time and value (audit).

Event design & transportation quality

  • Canonical events: Order.created, Order.Approved, Order.Shipped, Invoice.sent, Payment.received
  • Payload design: Always include business and third-party IDs (erpOrderId, appOrderId).
  • Idempotence & order: Clear eventId, Consumer save offset.
  • Retries: Exponential backoff, retry limit, DLQ with false reason.
  • Monitoring: Correlation ID across all logs.

Example payload

filename.html
{
  "event": "Order.Approved",
  "eventId": "evt-9b1f2-20251022-120001",
  "appOrderId": "ORD-2025-10932",
  "customerId": "CUST-4481",
  "totals": { "net": 12850.75, "vatRate": 0.19, "currency": "EUR" },
  "approvedBy": "anna.schmidt",
  "approvedAt": "2025-10-22T12:00:01Z"
}

Implementation steps (deliver measurable value quickly)

Phase 0 - Read-Only Discovery:
Read-only access. Data profiling and structure validation.

Phase 1 - One-way sync (App → ERP):
Small, valuable write process (e.g. order creation). Validations, deduplication, idempotency.

Phase 2 - Two-way status sync:
ERP → App Events (Shipped, Cancelled, Invoiced). State machine and notifications.

Phase 3 - Extend automation:
Generate documents, schedule reminders, nightly polling reconciliation.

Phase 4 - Straight-Through Processing:
Combination of validations, approvals and integrations - humans only intervene in exceptional cases.

Testing & monitoring - no 2 o'clock night shock

  • Contract Tests: ERP/CRM mocks check mappings in the build process.
  • Golden Datasets: 10-20 sample data sets for regression tests.
  • Feature Flags: Activate integrations behind switches.
  • Dashboards:

    • Events/minute, latency oldest event
    • Error rate per endpoint
    • Retry count, DLQ volume, drift
  • Runbooks: Procedure for replay, backfill, credential rotation.

Security, data protection & compliance

  • Least Privilege: Separate service accounts for read/write, tokens per environment.
  • Secrets Management: API keys in Vaults, Rotation & Audit.
  • PII minimization: Only synchronize fields that are really required.
  • Data residency: Document storage location and encryption.
  • Traceability: Unchangeable logs, export functions, retention periods.

Avoid typical mistakes

  • Big bang two-way integration: Better to start small (one entity, one direction).
  • UI-based mapping: No testability, no versioning. Externalize mapping.
  • Time zones/encoding overlooked: Always standardize UTC & UTF-8.
  • Obsolete master data: Cache with TTL, fallback if unknown.
  • No manual way out: Provide "Request change" with audit log.

This changes if you do it right

If your Process digitization app is validated at the edge, deduplicated at the gateway and synchronized via events (with polling as a safety net), the following happens:

  • Less rework: Duplicate entries are reduced by > 90 %, error rates significantly lower.
  • Shorter throughput times: Status changes run automatically - hours instead of days.
  • More trust: Finance, Operations and Sales see the same truth, with a complete audit trail.

This is the path from tables and typing to a process that moves itself -
from double data entry to zero manual entries.
